PARISH ADMINISTRATOR
St. Peter’s Episcopal Church is seeking a Parish Administrator to serve as the welcoming face of our office. The candidate will play a pivotal role in church communications and office management, ensuring the smooth operation of administrative tasks. The responsibilities outlined below contribute to the effective management and utilization of church facilities while enhancing the church’s support for its members during significant life events and celebrations. Strong organizational, communication, and technical skills are essential for success in this role. The Parish Administrator will report directly to the Rector of St. Peter’s Episcopal Church.
Position Overview: This position is part-time, 30 hours a week, Mon-Fri, with a shortened work week during the summer months. The hourly wage range is $21-$25 per hour, determined upon an offer and commensurate with experience and education. We can also offer the employer retirement plan with generous employer match in a 403b, and a discount on St. Peter’s Community Arts Academy programs.
Key Qualifications:
5+ years of professional experience required, office management experience preferred, and/or equivalent level of education.
Strong attention to detail and excellent time management skills.
Exceptional communication and people skills.
Proficiency with Microsoft Office programs (Word, Excel, Powerpoint, Publisher), plus Adobe.
Ability to maintain confidentiality.
Comfort and proficiency in using social media platforms (Facebook, Instagram, etc.).
Capacity to multitask effectively.
RESPONSIBILITIES BY CATEGORY
Administration and General Office Coordination:
Oversee all aspects of general office coordination and clerical needs, including maintaining and organizing documents, files, parish database, calendar (i.e Vestry Minutes).
Maintain Parish Roster.
Prepare weekly Sunday Bulletin (coordinate with church staff and committee volunteers).
Create Church School annual lists.
Create and manage the Children’s Worship Activity sheet.
Maintain and update the seasonal Worship Assignment Schedule.
Provide office support for church ministries and programs.
Place orders for church office and maintenance needs (copier maintenance, paper, cleaning supplies, envelopes, etc.).
Oversee the Food Pantry (facilitate distribution).
Collect and distribute incoming mail.
Communication and Publications:
Send out weekly parish email/newsletter type communications.
Monitor and assist with the maintenance of the organization’s website content and user access.
Social Media and Online Presence, including the current St. Peter’s Episcopal Church’s Facebook page and Instagram, creating events and ongoing content.
Establish a presence on other social media platforms, such as Instagram and Twitter.
Press Releases as they pertain to church events and inviting the public.
Coordinate and implement church paper mailings as appropriate.
Coordination of Church Building Spaces:
Manage the scheduling and allocation of church building spaces for various events and activities.
Ensure that the spaces are set up and prepared for events, meetings, and gatherings as needed.
Collaborate with church staff, parish volunteers or committees, and community members to address space-related requirements and concerns.
Coordinate requests pertaining to church events (e.g., Weddings, Funerals, Celebrations).
Assist individuals or families in coordinating these events, ensuring that all logistical and administrative aspects are well organized before the event and communicated to both the Rector and Sexton.
Maintain records and documentation related to these events and provide necessary support to clergy.
Building and Property Management:
Communicate with the Church Sexton regarding building and maintenance needs.
Care for the church building.
